2. Map your systems to how your business works
We first study the customer experience you want and how your team works. If you have no organised database, we build the records in ABC. For your calendar, booking, CRM or POS system, including Zeoniq, StoreHub or Kumo, we check API access, available data and supported actions against your requirements.
Then we map customer identities, fields, branches, staff, appointment types, tags and status changes into your workflows. We connect and test the data, check the responses, refine the mapping and confirm that your AI takes the right action. Recurring bookings and appointments across several doctors or branches need different rules.

3. Map the lifecycle and customer groups
We define stages around your business: enquiry, booked, attended or no-show, paid, receiving service, repeat and lapsed. Interests and VIP or key-account status are separate, using the customer history and rules you agree.
We map supported calendar and booking updates, CRM records, POS purchases or staff confirmations to the right customer and stage. A booked slot alone does not confirm attendance. Where a system does not record a visit or expose a needed update, we agree how your team will supply it.
Groups reflect the customer’s situation, and stay useful as it changes.

4. Make the next message fit
We configure the agreed replies, routing and follow-up rules. A confirmed booking can move the customer into appointment preparation. Attendance, cancellation or no-show updates trigger their agreed next steps. A confirmed purchase ends the relevant sales sequence and starts onboarding or service follow-up. Separate product enquiries keep their own journey.
The AI and team can use an approved instruction such as “Mei handles this account; delivery after 6pm”. VIP treatment follows your service rules. If the context is unclear, the workflow asks or hands over instead of making up an arrangement.

5. Test your customer journeys
We test the journeys agreed for your business: a new enquiry, a booking moving through its next stages, a paid customer receiving service follow-up, or a returning VIP with a special arrangement. Booking tests include rescheduling, cancellation and the agreed source of attendance or no-show confirmation.
We also change a record and expire a note to check that the next conversation uses the updated context. You approve the behaviour before handover.

6. Hand over the operating routine
Your team learns how to update records, correct a match, manage special notes and handle failed updates. We leave the field definitions, lifecycle map, configured rules and test record with you.
