Here’s what would solve your problem

AI B2B Quotation and Follow-Up System

A quote sent should have a next step.

Give buyers useful product answers, gather the details needed to quote and keep the conversation moving. Standard quotes follow your rules. Custom requests reach your salesperson with the context attached.

  • Enquirya competent reply, even after hours
  • Quotestandard by your rules, custom to sales
  • Follow-up and orderday 2, 5, 10, then payment reminders until paid
  • First: a competent reply, any hour
  • Complete: no need for the buyer to repeat details
  • Chased: day 2, day 5, day 10

Sample data, no real customers. Sound on for the full story. This example uses a Google Sheet quotation template. If you already quote in a system such as Bukku, the flow works with that instead.

The buyer asked. The next step is still waiting.

A technical question waits for a senior colleague. The quote waits for missing details. Once it is sent, nobody is sure when to follow up or why the buyer went quiet.

The familiar problem

Product answers, quoting and follow-up sit with different people and depend on manual handovers.

What we put in place

The enquiry gathers the right details, follows your quoting rules and moves into an agreed follow-up schedule.

One WhatsApp conversation, from price question to payment.

The buyer just chats. Standard quotes are filled in, sent and followed up under your rules. Custom requests go to your salesperson with the details already collected.

  1. Ask · CollectAsk and collectThe AI answers in the same chat and collects what the quotation needs.
  2. Quote · SendQuote or hand over, then sendStandard quotes are worked out in your quotation system. Custom requests go to sales. The PDF and its link go to the buyer on WhatsApp.
  3. Day 2 · Day 5 · Day 10Follow upDay 2, day 5 and day 10, each message with a purpose.
  4. Decide · PaidDecide and get paidAccepted or Lost in your quote log, then payment reminders until paid.

We organise your product information and quoting rules, collect the details needed for a quote and route custom requests to your salesperson with the context attached. Standard quotes use the rules you approve. Follow-up runs on days 2, 5 and 10. We connect the agreed price lists or customer records, test two message versions and review the quote-to-order results.

Inside each step

What the buyer and your team see.

01Chapter

One WhatsApp window, from the first question.

The buyer asks about the price on WhatsApp, at any hour. The AI answers in the same chat and collects what the quotation needs: name, company, delivery details and the items.

Your salesperson starts with the requirements already collected.

Can the AI answer questions about technical products?

Start with the information your team has approved.

1. Teach the AI your products

We organise your specifications, pricing and delivery terms for the AI to use in replies. We test the answers against your product information and agree what should go to your team.

Routine product questions have a defined source and response path.

What does the salesperson need to know?

Collect the facts that make a quote useful.

2. Ask the questions a sales engineer asks

The conversation gathers the company, application, quantity, timeline, location and contact role. Urgency is flagged and the requirements are available for your team to prioritise enquiries.

Your salesperson starts with the requirements already collected.

02Chapter

Standard quotes follow your rules. Custom work goes to your team.

The details land in your quotation system. Your formula works out the prices, tax and total, and a standard quote becomes a PDF with its own link. Custom requests go to your salesperson with the information gathered so far, ready for review.

  • It goes straight to the buyer. The AI sends the PDF and its link on WhatsApp, with the total and the valid-until date. No copy and paste. Custom quotes are sent once your salesperson has approved them.

The buyer gets the quotation while the interest is still there.

Shown here in a Google Sheet template. If you already quote in a system such as Bukku, we work with that instead.

You control what can be quoted automatically and what requires approval.

03Chapter

Follow-up starts by itself, each message with a reason.

The day 2 check confirms receipt, day 5 adds useful information and day 10 asks about the decision. A reply continues the conversation, and anything that needs a person goes to your team.

  • Record the decision, then see it through to payment. Each quote is marked Accepted or Lost in your quote log, and rejection reasons are recorded. When a quote is accepted, the buyer gets the invoice and payment reminders until it is marked paid. Won accounts move into the agreed order updates, reorder triggers and renewals. Reports show pending quote age, win-loss patterns and unmet demand.

See which quotes need attention and what buyers are telling you.

No quote is left waiting because someone forgot to chase it.

Give each follow-up a purpose, and record the decision.

4. Follow-up, account care and reporting

Illustrative example

An enquiry arrives after the sales team has left.

A buyer needs a standard product, but has a custom delivery request.

A worked example to explain the setup, not a customer result or a product screenshot.

Answer and ask
The AI uses the approved product information and gathers the quantity, application and required date.
Route the exception
The delivery request goes to the salesperson with the conversation and requirements already collected.
Keep track
Once the approved quote is sent, the follow-up flow records replies and the buyer's decision.

Routine questions keep moving while your team handles the decision that needs their judgement.

How we deliver it

Every install is the deployment of an AI system into your business, delivered as a service. In the categories IRAS uses for qualifying AI business services, the work is:

Consultancy and strategy
The business expert work above: the mapping, the definitions, the copy and the working sessions.
System development
The AI and system configuration above: the AI Employee, AI Manager and platform capability switched on and wired to your business.
Data and analytics
The data mapping and checks, plus any reports, briefs or alerts included in the agreed scope.
System-related training
Handover and training so your team runs it without us.

Onboarding gave you

answers to common product questions or parts of the quoting flow, depending on your existing setup. We review them before deciding what needs to be built.

This adds

The agreed product knowledge, quoting formula and approval rules; quotations in your format where needed; quote and invoice cross-checks; day 2, 5 and 10 follow-up; payment reminders after acceptance; and the verified connection to your price list, quotation system or customer records.

Agree the work before you decide.

Your consultant agrees the outcomes, scope and delivery checks with you, explains the investment, and provides a quote for your business.

Assess the investment against the value and margin of additional orders, along with the time the quoting flow could save.

We are a Singapore company. Can we claim this under the EIS 400% AI tax deduction?

Singapore company? Install work like this is generally the kind of AI spend the EIS 400% deduction covers for YA2027 and YA2028: up to about 51 cents of extra tax saving per dollar over a normal deduction, at the 17% headline rate. No pre-approval: when the work is completed and accepted we send the claim documents, and your accountant adds it to your normal return. Forward our accountant page, and confirm your own eligibility with your tax advisor.

Built, then tuned until it really works

We build everything on this page, and we keep tuning it through the support period in your quote until it is really working. We do not promise how far your numbers move.

Our commitment and what you keep

Whether the numbers move depends on your customers, your season and your list as much as on the system, so we do not promise a result, and we do not switch it on and leave. We build everything on this page, connect it to your tools as far as they allow, test it on your real conversations, and keep tweaking the messages, the timing and the rules through the support period in your quote until it is really working. We need your feedback along the way, because what a good result looks like is different for every owner. The scope is what is written on this page. The decisions that are yours stay yours: the offer, the prices, the rules. We bring the expertise, surface the options and build. You decide. Everything we build stays yours:

  • Your specs, pricing and terms, organised and answerable, a company asset on its own
  • The questions we ask each buyer and the quoting rules
  • Every chaser sequence, in your voice
  • The quote-aging report: you finally see where quotes die

Whatever your market does, you keep everything on this list, and we keep working with you through the agreed support period until the system is doing what this page says.

Honest fit check

Perfect for:

  • Suppliers, distributors, manufacturers and project businesses where quoting is the sales motion
  • Teams whose senior people are the only ones who can answer technical enquiries

Not built for:

  • Businesses that never quote: the Checkout Flow fits direct-order businesses better

Quick answers

Most of our quotes need custom work.

We agree which requests can follow standard rules and which need your salesperson or engineer. Custom requests are handed over with the information already collected; there is no fixed standard-to-custom ratio.

Our buyers want a relationship with a person.

Your team keeps that relationship. The system handles the agreed routine questions and information gathering, then passes context to the person taking over.

Our price list is sensitive.

You decide what can be quoted automatically, what needs approval and what must stay with your team.

Will follow-up annoy buyers?

We agree a useful purpose for each message in the day 2, 5 and 10 sequence, and review responses with you. Timing and wording should fit how your buyers make decisions.

We already quote in Bukku or another system.

We work with the quotation or accounting system you already use where it can connect, or set up a Google Sheet quotation template with you. We confirm the connection during scoping, before you commit to the build.

We are a Singapore company. Can we claim this under the EIS 400% AI tax deduction?

Often, yes. For YA2027 and YA2028 the EIS gives a 400% tax deduction on up to S$50,000 of qualifying AI spend per year of assessment. IRAS's examples of qualifying AI business services include system development, consultancy and strategy, data and analytics, and system-related training. At the 17% headline rate that is up to about 51 cents of extra tax saving per dollar compared with a normal deduction; your actual saving depends on your tax position. Grant-funded amounts and non-AI items such as messaging fees do not qualify, and mixed packages are split. There is no application and no pre-approval: you claim it in the tax return you already file. Our part is to make it effortless. When the install is completed and accepted, we send the necessary documentation, itemised under this system's title, and we work with your accountant on anything else the claim needs from our side. Whether your company qualifies depends on your own situation, so confirm with your tax advisor.

ABC Sales AI · abcsales.ai · Every install is scoped to your business and quoted by your consultant. Outcomes depend on your market, offer and execution; what we commit to is the work, not the result. You are responsible for the content you send; campaigns are vetted against your industry's rules before launch. ABC Sales AI is not a tax advisor; any Singapore EIS treatment is for your tax advisor and IRAS to confirm.

Bring a few quotes that went quiet.

We will trace the enquiry, the missing information and the follow-up with you, then identify which parts can be automated and which should stay with your team.
