Recurring Scheduled Messages: Weekly, Monthly, and Annual Recurrence
Recurring Scheduled Messages let you create automations that trigger from a custom date field and repeat on a schedule (weekly, monthly, or annually).
Recurring Scheduled Messages Tutorial
This is ideal for:
- Birthday messages: annual
- Anniversaries / renewal reminders: annual
- Monthly follow-ups: monthly
- Regular check-ins: weekly
Previously, recurring schedules required manual resets after each send. With this upgrade, recurrence is handled automatically.
How It Works
- Store a date in a custom field (e.g., "Birthday Date").
- Build an automation that sends a template message at the exact time of that custom date.
- Enable a recurrence pattern (weekly, monthly, or annually).
- Optionally set an end rule (end date or maximum occurrences).
The system will then send messages on the recurring schedule based on each lead's custom field date.
Setup Guide (Example: Birthday Message Every Year)
Step 1: Create a custom date field
- Go to Custom Fields.
- Create a new custom field (e.g., "Birthday Date").
- Set the field type to Date.
- Save.
Step 2: Prepare your message template
Create or select a template message you want to send (e.g., a birthday greeting).
Step 3: Create the automation
- Go to Automations.
- Click Add Automation.
- Name your automation (e.g., "Birthday Wish - Annual").
- Select the message template.
- In the scheduling section, set the trigger timing to send from a Custom Field Date.
- Choose your custom field (e.g., "Birthday Date").
- Set it to send at the exact time of the custom field date.
Step 4: Enable recurrence
- Find Recurrence Pattern.
- Choose how often to repeat: Weekly, Monthly, or Annually.
- (Optional) Set an end rule: an end date or a maximum number of occurrences (e.g., 5 times).
- Click Create Automation.
Assign the Date to Leads
For the automation to work, each lead must have the custom date filled in.
Example:
- Lead's "Birthday Date" = 1 April
- The automation sends on 1 April 2026 (1st occurrence)
- Sends again on 1 April 2027 (2nd occurrence)
- Continues until it reaches the end date or maximum occurrences
Notes & Best Practices
- If a lead's custom date field is empty, the automation won't trigger for that lead.
- Use maximum occurrences for finite campaigns (e.g., "follow up for the next 12 months").
- Keep templates short and personal for better response rates (e.g., include lead name variables when available).
