This guide provides a complete, step-by-step walkthrough for setting up your AI-powered WhatsApp reminder and follow-up system for webinars using ABC Sales Bot. By following these instructions carefully, you can integrate this powerful tool into your sales and marketing funnels to significantly boost show-up and conversion rates.


Phase 1: Critical Pre-Setup Checklist


This guide assumes you have already connected your WhatsApp number to the ABC Sales Bot platform. Before proceeding, make sure the following critical steps are completed.


Use the Full Cloud API (Not Coexistence Mode)


While WhatsApp offers a "coexistence mode," it comes with a default throughput limit of 5 messages per second. For webinars, sending timely reminders to a large audience simultaneously is crucial, and this low limit can cause significant delays that hurt your show-up rate.

Verify Your Business with Meta


Since your goal is to message a large number of webinar registrants, you must increase your daily messaging limit. This is non-negotiable for a successful webinar campaign.


Go to your Meta Business Portfolio and submit your business documents to complete the verification process. This is a mandatory step to move beyond the initial low messaging limits.


Access to Your Sales Funnel Platform


You will need administrator access to your landing page and funnel-building software to set up the integration. This could be a GoHighLevel-based platform (like SalesProcess), other platforms like ClickFunnels, or even a Google Form and Google Sheet setup.


Gather Your AI Training Materials


To train the AI effectively, you need to provide it with the right contextual knowledge. The quality of your inputs directly determines the quality of the AI's responses. Collect the following assets:


  • Webinar Registration Landing Page Link: The content on this page is used to train the Webinar Reminder AI on the event's topic, promise, and logistical details
  • Offer Page Link: This page details what you sell. Its content is used to train the Sales AI on your product or service features, benefits, and pricing
  • Webinar Recording Transcript (optional but highly recommended): This is a crucial, context-rich asset. It's used to train both the Reminder AI (on how you build excitement) and the Sales AI (on how you pitch, handle objections, and explain your offer)
  • How to get a transcript: If you don't have one, upload your recording to YouTube as "Unlisted," wait a day, then download the auto-generated subtitle file. This works best for English-language content

Phase 2: Configuring Your AI Agents for the Webinar


Now, let's bring your AI assistants to life. While the platform can be customized for customer service, this guide focuses on the Webinar Reminder AI and the Sales AI.


  1. Navigate to "AI Agents": In the ABC Sales Bot dashboard, find the "AI Agents" section
  2. Create Your Agents: Create at least two agents: one named "Webinar Reminder AI" and another named "Sales AI"
  3. Train Your Agents: Inside each agent's settings is a "System Prompt" or "Knowledge" section. This is where you feed the AI its information by pasting the content from the materials you gathered in Phase 1
  4. Configure AI Tooling for Keyword Tagging: Set up automatic lead tagging based on keywords (details below)
  5. Test the Agent: Use the "Test" feature to chat with your agents. Refine their system prompts until they respond accurately and align with your brand voice

Train each agent for its specific role:


  • Webinar Reminder AI: Train this agent using the content from your Landing Page and Webinar Transcript. Its primary goal is to get people excited, answer logistical questions, and ensure they attend
  • Sales AI: Train this agent using your Offer Page content and the Webinar Transcript. The transcript is rich with contextual information on how you pitch and handle objections. This AI's goal is to close sales after the webinar pitch

There are two ways to generate the system prompts for your agents.


Option A: AI Manager (Recommended)


Give AI Manager your landing page and webinar transcript inside ABC Sales AI. It generates well-structured system prompts for both agents and can create the message templates you'll use later.


Option B: Custom GPT


You can use our custom GPT at salesbotsecrets.com/aitemplate to process your raw materials (landing page text, transcript) and generate powerful, well-structured system prompts for your agents. This also helps create the message templates you'll use later.


Set Up Keyword Tagging


This powerful feature allows the AI to automatically tag leads based on keywords they send:


  1. In the AI Agent settings, find the "AI Tools" section
  2. Click "Add Tool" and select Lead_Tagging
  3. In the description, give it a clear instruction. For example: "When a user sends a keyword like 'secure' or 'vip', tag them as 'interested'."

This is a core part of the conversion strategy, allowing you to instantly identify and segment hot leads who respond to your in-webinar calls-to-action. For example, present the offer and say "reply SECURE if you want an even better deal," then after they reply, ask them to type "done" in the webinar chatbox. This segregates people who are highly interested in your offer so you can run a different follow-up if they don't sign up (for example, have a human assistant call them).


Phase 3: Automating Your Webinar Messaging


Here, we'll set up the automated messages that go out to your leads.


Create a Message Template


  1. Navigate to the "Templates" section in ABC Sales Bot and click to create a new one
  2. Write your message using variables for dynamic content. For example: "Hi {{1}}! Thanks for registering for the webinar on {{2}}. We'll see you there!"
  3. Submit the template for Meta's approval

Understand the "Utility" vs. "Marketing" classification:


  • Utility: Mission-critical messages the user expects to receive because they took a specific action (e.g., registration confirmation, password reset). They are transactional and have the highest deliverability
  • Marketing: Promotional messages designed to warm up a lead, promote an offer, or drive a sale. Meta classifies these differently, they are more expensive, and they are subject to stricter rules
  • The Goal: Write your critical messages (like confirmation and "Live Now" reminders) in a way that Meta classifies them as Utility to ensure they get delivered. Avoid promotional language in these specific templates

Build an Automation Flow


  1. Navigate to the "Automations" section and create a new flow
  2. Add steps to send your approved templates at scheduled times
  3. Implement AI agent switching (see below)

Be very careful when scheduling multiple messages classified as Marketing by Meta. If you send too many marketing messages to a user within a 24-hour window, the later messages are likely to fail. Prioritize essential, utility-based communication.


Implement AI Agent Switching:


  • In the automation flow settings, assign the "Webinar Reminder AI" to be active from the moment a lead registers
  • Set a rule for the "Sales AI" to take over at the time you begin your sales pitch in the webinar. This ensures sales-related queries are handled by the correctly trained AI

People can enter an automation in two ways: manually added (for example, you import them into the system and select the automation to add them in), or automatically through a trigger (a webhook from your funnel, configured in the next phase).


Phase 4: Integrating with Your Sales Funnel


This step automatically sends lead information from your funnel (e.g., WebinarJam, ClickFunnels, GoHighLevel) into ABC Sales Bot.


Method A: For GoHighLevel-Based Platforms (e.g., SalesProcess, Automatic Sales)


  1. Navigate to your Automation Workflow: In your GoHighLevel-based platform, open the automation that triggers after a lead submits their information
  2. Add a Webhook Step: Add a new action to your workflow and select "Webhook"
  3. Set the Method: Set to POST
  4. Set the URL: Go to the "Integrations" tab in ABC Sales Bot and copy the Webhook URL. Paste it here
  5. Add an Authorization Header: In the "Headers" section of the webhook step, add a new header with Key Authorization and, as the Value, your API Key copied from the "Integrations" tab in ABC Sales Bot
  6. Configure the Payload: Copy the Example Payload from the "Integrations" tab in ABC Sales Bot and paste it into the "Raw Body" section of the webhook step
  7. Map the Fields: Replace the example data with the dynamic contact fields from your platform
  8. Map the Automation ID: In the data payload, find the subscribe field. Go to your automation in ABC Sales Bot, copy its unique ID, and paste it here
  9. Test and Publish: Save the webhook step and publish your workflow

Method B: For Other Platforms via Zapier (e.g., ClickFunnels, WebinarJam)


  1. Trigger Setup (Zapier): In Zapier, create a new Zap. Set the trigger to "New Webinar Registration" in your funnel platform (e.g., WebinarJam) or "New Contact Activity" (e.g., ClickFunnels)
  2. Sanitize the Phone Number (recommended for ClickFunnels): Add a "Code by Zapier" step with "Run Javascript." In the "Input Data" section, add a field called phone (all lowercase) and map it to the phone number field from your trigger, then paste the normalization code below
  3. Action Setup (Zapier): Add the final action step and search for the "ABC Sales AI" app. Select the event "Create or Update Lead"
  4. Connect Account: Connect your account using the API Key from the "Integrations" tab in your ABC Sales Bot dashboard
  5. Map the Fields: Map Lead Name, Email, and Phone to the corresponding fields from your trigger step. For the phone number, use the formattedPhone output from the "Code by Zapier" step
  6. Add Tags: Add tags to segment your leads (e.g., "SGA Buyer", "Webinar May 2025")
  7. Automation to Add: Copy the unique ID for your desired "Reminder" automation from ABC Sales Bot and paste it here
  8. Automation to Remove (for buyers): If this Zap is for new buyers, copy the ID of your "Reminder" or "Sales Follow-up" automation and paste it here to automatically remove them from the follow-up sequence. You can add multiple IDs separated by commas
  9. Test and Publish: Test the Zap, then turn it on


Phase 5: Strategies for Higher Show-Up & Conversion Rates


Best Practices for Higher Show-Up Rates


1. Immediate Acknowledgment


Send an automated WhatsApp confirmation message immediately after a lead registers. This trains the lead to recognize and trust the WhatsApp number, reducing the chances of them blocking or reporting it as spam later. It confirms their registration and sets the expectation for future communication.


2. Strategic Reminder Frequency (The Top 5 Messages)


Limit the number of reminders, especially on the event day, to avoid triggering Meta's spam filters. A proven sequence is:


  • Immediate Confirmation: Sent right after registration
  • Pre-Event Teaser (1 day before): A value-based or excitement-building message
  • Reminder (1-3 hours before): A final reminder before the event
  • "Live Now" Message: Sent the moment the event starts. This is a crucial message
  • Urgency Message (15 minutes after start): Send a message with a photo of the live event to create FOMO and pull in latecomers

Prioritizing a few key, well-timed messages is more effective than sending many and risking deliverability issues.


3. Encourage Engagement in Messages


Craft messages that prompt a reply. Simple questions or calls to action work well, for example: "What would you like to learn from this challenge? Reply A, B, or C" or "Reply 'READY' if you'll be joining the session on time." Engagement (replies) is a positive signal to Meta. It improves the health of your WhatsApp number, making it less likely your messages will be flagged as spam.


4. Use "Utility" Templates for Critical Messages


Rewrite critical reminders (like the "Live Now" message) to be classified by Meta as "Utility" rather than "Marketing" by keeping the language informational and direct. Utility messages have higher deliverability rates and are less likely to be throttled by Meta's systems, ensuring your most important messages get through.


Best Practices for Higher Conversion Rates


1. Use a "Keyword" CTA to Identify Hot Leads


During the sales pitch in a webinar, instead of just dropping a checkout link, use a QR code that asks interested prospects to send a specific keyword (e.g., "SECURE") to the WhatsApp number. This immediately segments your hottest leads. You now have a list of highly interested individuals who you can follow up with directly via the Sales AI, even if they don't purchase on the spot.


2. Implement AI Agent Switching


Configure your automation to automatically switch from the "Reminder AI" to the "Sales AI" about 20 minutes before your estimated sales pitch begins. The Sales AI is specifically trained with product details, pricing, and objection-handling scripts, so when a hot lead asks a question during the pitch, they get an immediate, sales-focused answer.


3. Targeted Post-Webinar Follow-Up


Do not send generic follow-up messages to all registrants. After the webinar, go to the "Leads" tab in ABC Sales Bot, click "Import," and select the Zoom type (webinar or meeting) to upload your attendee report (no modification needed, upload it as is). You can then tag attendees and add them to a specific, targeted follow-up automation. This respects the time of those who didn't attend and focuses your sales efforts on the most engaged prospects, reducing the risk of being marked as spam.


4. Reactivate Cold Leads with a Quiz or Gift


To improve the health of your WhatsApp number and generate new leads, run a reactivation campaign. Send an email to your existing list with an offer for a free gift (e.g., checklist, e-book) or a quiz, which they can access by messaging your WhatsApp number. This gets leads to initiate the conversation, which is highly valued by Meta. It warms them up and allows you to follow up with an invitation to your next event, converting your existing database into new, engaged prospects.


Phase 6: Managing Recurring Webinar Campaigns


For recurring events, follow this checklist to save time:


  1. Duplicate the Automation: In ABC Sales Bot, find the automation for your last event and use the "Duplicate" function. Rename it for the new event
  2. Update Timers & Content: Go into the new automation and edit the timers and message content (date, day, Zoom link) for each scheduled message
  3. Update the AI Agent: Go to the "AI Agents" section and update the knowledge base with the new webinar date, time, and Zoom link
  4. Update the Integration (Zapier/Webhook): In your integration, paste the new Automation ID into the subscribe field in the data payload. Update any tags to reflect the new event

Phase 7: Troubleshooting & FAQ


  • Problem: I see a red exclamation mark next to a sent message. This indicates a message delivery failure. Click on the message to see what's wrong. A "Maintain a healthy ecosystem" error means you've sent multiple messages to that user without receiving a reply. Focus on increasing engagement
  • Problem: I see an "AI Conflict" tag on the lead and the AI stopped replying. This means the lead is in two or more automations handled by different AI agents. Go to the lead's profile and remove them from the irrelevant automation
  • Problem: Meta suspended my WhatsApp account. This usually happens if a high number of users block your number. Review your messaging strategy to be more engaging and always get clear consent. You may submit for Meta review, or get our team's help if you have done so and never received a reply after 48 hours
  • Q: How do I handle customer questions the AI can't answer? Program the AI's system prompt with a fallback instruction. For example: "If you do not know the answer, tell the user you will get a human expert to assist and ask them to type the word 'ESCALATE'." When a user types "ESCALATE," the system notifies you and your team via email and the mobile app so a human can take over the conversation
